HR Generalist
POSITION SUMMARY:
We are looking for an efficient Human Resources (HR) Generalist to undertake a variety of HR administrative duties. You will provide support to end to end daily HR functions in particular supporting Talent Acquisition effort.The ideal candidate will have a broad knowledge of Human Resources as well as general administrative responsibilities. He/ She will be able to work autonomously and efficiently to ensure the end-to-end running of HR projects and operations. To succeed in this role, you should be familiar using HR software and tools.
Ultimately, you should be able to contribute to the attainment of specific goals and results of the HR department and the organization.
ESSENTIAL RESPONSIBILITIES:
- Respond to internal and external HR related enquiries or requests and provide assistance.
- Maintain records of personnel-related data (payroll, personal information, EPF, SOCSO, INCOME TAX (PCB), leaves, or maternity leave, Sick Leave, Hospitalization Leave, Absconded, Resignation, etc.) in both paper and the database and ensure all employment requirements are met.
- Assist payroll department by providing relevant employee information (e.g. employee information, leaves of absence, sick days and work schedules).
- Liaise with other departments or functions (payroll, benefits etc.).
- Manage the full cycle of recruitment for Directs and In directs category according to the manpower plan.
- Prepare weekly /monthly reports as needed.
- Manage foreign workers and expatriates hiring. Management of Expatriate Employee and liaise with the Immigration Department, and Expatriate Services Division (ESD) on permit application and renewal.
- Support the recruitment/hiring process by preparing and managing the job posting to appropriate recruitment channel or media, sourcing candidates, performing background checks, assisting in shortlisting, issuing employment contracts and new hire guides.
- Perform orientations, onboarding and update records with new hires.
- Schedule meetings, interviews, HR events etc. and maintain the team’s agenda.
- Assist supervisors in performance management procedures/process.
- Coordinate employee training & development activity by managing Training Needs Analysis and Annual Training Plan and Training administration.
- Liaise with HRDF on matters pertaining to Training claims and applications.
- Administration overall training budget for the site.
- Track stafff movements and update Organizational Chart. Memo announcement on the internal organization updates. To report any changes with HQ.
- Industrial Trainee / Internship Management – Full administration of Industrial Trainee /Internship Management.
- Assist in maintaining ISO and quality related documentation for Human Resources.
- Conduct exit interview analysis and develop structured programs and activities to drive employees engagement and retention.
- Assist in ad-hoc HR projects, like collection of employee feedback/survey.
- Liaise with external partners, like insurance vendors, and ensure legal compliance.
- Assist in Employee relations matters, welfare and corporate social responsibility Programs that is aligned with the business needs.
- Assist in employee disciplinary actions, employees relations, Performance Improvement Plan (PIP).
- Participate in HR projects (e.g. help organize a job fair event/walk in interview/Benchmarking Salary & Benefits/Kaizen/Six Sigma/5S project).
- Assist in development, interpretation, application and implementation of disciplinary guidelines, grievances handling, employee counseling, performance improvement plan and other disciplinary related matters. Maintain disciplinary database.
- Support other functions as assigned.
WORK ENVIRONMENT:
Mostly office environment with some travel up to 10% of time.
SKILLS:
- Strong understanding of traditional HR process: staffing, C&B, organization design, performance management, Talent Acquisition, HR measurement and legal compliance.
- Understanding of workforce demographic issues/trends.
- Proven ability to effectively deal with conflict.
- Ability to deliver operationally and will possess a strong mix of strategic and operational HR skills.
- Strong relationship management skills; a skillful team player with the ability to network effectively up, down and across the business.
- Excellent communication skills; articulate, possessing both credibility and integrity.
- Assertiveness, confidence, a self-starter.
- English language capabilites
EXPERIENCE:
Essential:
- Knowledge of human resources processes and best practices.
- Minimum of 3-5 years working experience in sa imilar scope.
- Strong ability in using MS Office (MS Excel and MS PowerPoint, in particular)
- Experience with HR databases and HRIS systems
- Ability to work with HR software
- In-depth understanding of sourcing tools, like resume databases and online communities
- Familiarity with social media recruiting
- Ability to handle data with confidentiality
- Good organizational and time management skills
- Thorough knowledge of labor laws
- Excellent organizational skills, time management skills with an ability to prioritize important project
Desirable:
- Proven experience as an HR Generalist or relevant human resources/administrative function

- Degree/Diploma in Human Resources, Business, or any related field..
Desirable:
- Degree in Human Resources, Business, or related field.
